Applications for summer 2025 are now being accepted.

Important: Academy Training and Planning Meetings Are Scheduled for 25 and 26 April 2025 on the campus of Washington and Lee University. As you apply to be a director, teacher, or mentor, please make note.

Date: 21 June – 12 July 2025

Director: Each Academy director is responsible for choosing and managing staff, with the assistance of the program coordinator. Directors are expected to communicate policies and procedures to staff and students, maintain communication with parents, maintain student records, manage the Academy budget, assign staff duties, oversee all aspects of Academy operations, and make sure to maintain a healthy balance among staff member responsibilities. In addition, directors must define the roles of the staff by the Spring meeting. The director must ensure that student records, such as medical information and student application materials, are kept confidential and shared only on a legitimate need to know basis. Only the director should have direct access to these materials. Directors may also teach, usually part-time, and lead or assist with afternoon activities. At the discretion of the director, the lead staff (director, lead teacher, and lead language mentor) may arrive one day prior to the remaining staff to set up the Academy office and begin planning. Directors are expected to lead team meetings, as needed, to update the calendar, discuss student issues, and overall academy implementation. Staff time off must be planned ahead, and equally distributed among staff members at the academy. All staff members are expected to participate in field trips and special events.

Directors are the primary point of contact for parents and must make every effort to respond as quickly as possible to parental inquiries and requests. Parents should also be notified as soon as possible of any health or disciplinary issues, and directors must keep a log of such incidents. In the case of a disciplinary infraction, only the director or lead teacher should contact the parents. When discussing disciplinary matters with students, the director is required to include the lead teacher or another staff member.
